Privacy Policy
Last updated: 3 October 2026
1. Introduction
Fuel Book ("the app", "we", "us") helps you track fuel fill-ups, service records, reminders and running costs for your vehicles. This Privacy Policy explains what information the app collects, how it is used and stored, and the choices you have.
By creating an account or using the app you agree to the practices described here. If you do not agree, please do not use the app.
2. Information we collect
We only collect the information needed to run the app:
- Account information: your email address and password (the password is stored only in hashed form by our authentication provider), plus the name and optional mobile number you choose to add to your profile.
- If you sign in with Google: your Google account email address and name, which Google shares with us to create and identify your account. We never receive your Google password.
- Vehicle and log data you enter: vehicle names, types and details; fuel entries (date, odometer, volume, price, notes); service entries; fines (date, amount, reason, status, notes); and reminders.
- Files you import: when you choose to import a CSV file, the app reads only that file and saves the entries it contains to your account.
- App preferences: units, currency, date format and theme.
- Basic technical data: like most online services, our hosting provider may process technical information such as IP address and device/app version to deliver the service and keep it secure.
3. Information we do not collect
- We do not collect your location.
- We do not access your contacts, photos, camera or microphone.
- At the date of this policy the app does not show ads and does not use third-party analytics trackers. If we add advertising in a future version, we will update this policy first (see section 6).
4. How we use your information
- To create and secure your account and sign you in.
- To store and show your vehicles, fuel logs, services, fines and reminders, and to calculate statistics such as fuel economy and running cost.
- To keep your data in sync across sessions and devices you sign in on.
- To maintain, troubleshoot and improve the app.
5. Where your data is stored
Your data is stored in a cloud database and authentication service provided by Google Firebase. Data is transmitted between the app and the service over encrypted (HTTPS) connections. Access is restricted so that each signed-in user can only read and change their own records.
Google acts as our service provider (data processor) and may process data on servers located outside your country. Please see Google's own privacy policy for details about how it handles data.
6. Sharing your information
We do not sell or rent your personal information. We share information only:
- With our service provider (Google Firebase) to operate the app, as described above.
- When required by law, regulation or valid legal process.
- To protect the rights, safety or security of our users, the app or the public.
- If we introduce advertising: with a third-party ad network such as Google AdMob, which may collect and use your advertising ID, IP address, approximate location and information about how you interact with ads, in order to show and measure ads. Ad networks handle this data under their own privacy policies. Where the law requires it, such as in the European Economic Area and the UK, we will ask for your consent first. You can reset your advertising ID or opt out of personalised ads in your device settings.
7. Data export and import
The app lets you export your Fuel Book data (fuel, service and fines) as CSV files. A file is created on your device and is shared only where you choose to send it. Once you share a file, it is outside our control.
The app also lets you import entries from a CSV file. You pick the file yourself; the app reads only that file, does not access any other files on your device, and saves the entries it contains to your account.
8. Data retention and deletion
We keep your account and log data for as long as your account is active. You can delete individual fuel, service, fine and reminder entries, or an entire vehicle (which also deletes its fuel, service, fine and reminder history), at any time from within the app.
You can delete your whole account at any time in the app: open Profile, then Settings, and tap Delete account at the bottom. This permanently removes your account and all of your vehicles, fuel, service, fine and reminder records. It cannot be undone. If you cannot use the app, contact us using the details below and we will delete it for you within a reasonable time. Backups may retain data for a short additional period before being overwritten.
9. Your rights and choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information (you can edit your name and mobile number in Profile → Edit profile).
- Delete your information.
- Object to or restrict certain processing, or withdraw consent.
10. Security
We use reasonable technical and organisational measures to protect your information, including encrypted connections, hashed passwords and per-user access controls. However, no method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please choose a strong, unique password and keep it private.
11. Children's privacy
The app is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. Continued use of the app after a change means you accept the updated policy.
13. Contact us
If you have questions about this policy, or want to exercise your rights or delete your account, contact us at: info.fuelbook@gmail.com
You can also delete your account yourself: see how to delete your account.
